Privacy Policy

What we collect, how we use it, who we share it with, and the choices you have.

Effective October 27, 2026

IMD Insurance Agency LLC (“IMD,” “we,” “us”) respects your privacy. This policy explains what information we collect through this website, by phone, by text, and in the course of providing insurance services, and how we use and protect it.

Information we collect

Information you give us

  • Contact details: name, company, phone, email, mailing address.
  • Business and underwriting information: USDOT/MC numbers, vehicle and equipment details (including VINs and values), commodities, operating radius, garaging address, prior insurance, loss history, and financial information needed for underwriting or premium payment.
  • Driver information: names, dates of birth, driver's license numbers, driving experience, and motor vehicle records, which you provide or authorize us or insurers to obtain.
  • Communications: the content of emails, texts, forms, and calls. Calls may be recorded for quality, training, and record-keeping purposes where permitted by law, and we will notify you where required.

Information from other sources

  • Public records, such as FMCSA SAFER and SMS data, state business filings, and court records.
  • Insurers, MGAs, prior agents, and consumer reporting agencies (for example, motor vehicle reports, loss runs, and claims history) as permitted by law.

Information collected automatically

When you visit our website we may collect device and usage data such as IP address, browser type, pages viewed, and referring site, through cookies and similar technologies (see Cookies & analytics).

How we use information

  • To respond to your inquiries and prepare quotes and proposals.
  • To submit applications to insurers and intermediaries, and to bind, service, renew, and endorse your policies.
  • To issue certificates of insurance at your request, and to coordinate regulatory filings.
  • To assist with claims.
  • To communicate with you about your account, and — with your consent where required — about other products and services.
  • To operate, secure, and improve our website and services.
  • To comply with legal, regulatory, and licensing obligations, and to detect and prevent fraud.

How we share information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising.

We share information only as needed to provide our services or as permitted or required by law, including with:

  • Insurance companies, MGAs, wholesale brokers, and program administrators, for quoting, underwriting, policy issuance, and claims.
  • Premium finance companies, if you choose to finance your premium.
  • Certificate holders you designate, such as brokers, shippers, and lienholders.
  • Service providers who perform functions for us (for example, agency management software, email, telephony, and cloud hosting), under contractual confidentiality obligations.
  • Regulators, law enforcement, courts, or others when required by law or to protect our rights, our clients, or others.
  • A successor entity in connection with a merger, acquisition, or sale of all or part of our business.

Text messaging (SMS/MMS)

Program: IMD Insurance Agency insurance service messages — one-to-one service messages about your own insurance quote, policy servicing, certificates of insurance, renewals, requested documents, and appointment reminders. We do not send marketing blasts by text.

How you opt in: by checking the separate, unchecked SMS consent box on a form on this website or on our text updates page; by giving verbal consent on a recorded call with our office; or by texting us first. Consent is not a condition of purchase.

Message frequency varies. Message and data rates may apply. Reply STOP to opt out, HELP for help. Full program terms are in our Text Message Program Terms.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.

All categories above exclude text-messaging originator opt-in data and consent; this information will not be shared with, sold to, or used by any third party, affiliate, or lead generator. The only exception is the messaging platform and carriers that transmit the messages on our behalf, which may not use the information for any other purpose.

Records: we keep a record of each opt-in (the form or call, the date and time, the number, and the consent language shown) and each opt-out, and we honor STOP requests immediately and across all of our numbers.

Use of technology and AI tools

We use software, including AI-assisted tools, to read and organize documents you provide (such as loss runs, driver lists, equipment schedules, and prior policies), to prepare submissions to insurers, and to service your policies. These tools operate under our direction and under terms that protect the confidentiality of your information. A licensed producer reviews every quote and recommendation, and no software binds, changes, or cancels coverage. If you prefer that a document be handled without AI-assisted processing, tell us and we will accommodate the request where practical.

Cookies & analytics

We use strictly necessary cookies to operate this website. If we use analytics tools, they collect aggregate information about how visitors use the site so we can improve it. You can block or delete cookies through your browser settings; parts of the site may not work as intended if you do. We honor Global Privacy Control (GPC) browser signals as an opt-out of any sharing that may be considered a “sale” or “sharing” under applicable state laws.

Security & retention

We maintain administrative, technical, and physical safeguards designed to protect your information, consistent with applicable law including the New York SHIELD Act. No method of transmission or storage is completely secure; please do not send sensitive information such as full driver's license or Social Security numbers through the website form — we will provide a secure method when needed.

We retain information for as long as needed to provide services and as required by insurance record-keeping laws and regulations, after which it is securely deleted or de-identified.

Your choices & privacy rights

  • Marketing: you may opt out of marketing emails using the unsubscribe link, and out of texts by replying STOP.
  • Access and correction: you may ask to see or correct the personal information we hold about you.
  • State privacy rights: depending on where you live, you may have the right to know, access, correct, delete, or obtain a copy of your personal information; to opt out of sales, sharing, targeted advertising, or certain profiling; and to appeal our decision on your request. Some information, such as information subject to insurance laws or the Gramm-Leach-Bliley Act, may be exempt. We will not discriminate against you for exercising your rights.
